Job Title: Inventory Officer
Location: Port Harcourt, Rivers
Employment Type: Full-time
Position Description
- The Inventory Officer is primarily responsible for managing products and materials, monitoring the level of supplies in the company to ensure purchases are made in a timely manner.
Key Responsibilities
Inventory Management and Control:
- Maintain and update records of goods received and issued out from the store to ensure completeness and accuracy of stock daily.
- Undertake monthly stock count to reconcile physical stock in store with records.
- Conduct monthly vessel stock count on all company vessels at every port call.
- Work with Internal control department to conduct comprehensive quarterly stock counts of materials.
- Receive delivered supplies, materials, and equipment; check and confirm that items match purchase order specifications on quantity, condition, model/part number, etc.
- Perform a three-way match of Purchase orders, vendor waybill and invoices on goods delivery to ensure consistency.
- Complete all necessary paperwork for stock items received and record appropriately.
- Process inventory requests and facilitate timely dispatch and of requested items to final consumer location.
- Determine optimal stock reorder levels and initiate purchase requisitions for stock items in line with their reorder levels to ensure that the store is never out of frequently used or critical stock.
Store Management:
- Ensures the security of items in the store and all items under the Inventory unit’s control.
- Organize and maintain the store neatly for efficient material storage and handling, accurate labelling of goods in an orderly system within the store for easy material identification and retrieval.
- Maintain a library of issued purchase orders using a dedicated software; track various aspects of inventory to ensure that proper amount of inventory is distributed to appropriate end users at the right time; keep material requestors informed on spares delivery.
- Track defective pieces of inventory, rates of return, rates of purchase, and rates of accuracy, to maintain and improve quality control.
- Design and implement a documented process for stock disposal for obsolete and scrap inventory.
- Ensure proper filing of reports with the provision of creative solutions to discrepancies.
- Ensure adequate inventory of product in accordance with the inventory cycle.
- Prepare daily inventory sheets in all location every end of month.
Documentation and Reporting:
- Generate and send monthly report on inventory stock count to the Procurement manager and Internal Controller.
- Generate and send monthly inventory Management report to the CEO.
- Maintain inventory status report showing delivered items and items in transit.
- Maintain and update all stock bin cards daily.
- Perform other duties as may be assigned.
Key Performance Indicators
- Effective inventory reporting:- Prompt submission of inventory management report; capturing Spend Analysis and Ratio of the Total Spend to the different cost centre; submission of stock daily report.
- Efficient Inventory Evaluation, Monitoring and Controlling:- Allocation of reorder levels for all stock items;
- Periodic stock inspection and count; Number of stock outs on Inventory items recorded monthly
- Optimization of requisition cycle:- Demand forecast accuracy and number of missed delivery timelines for requested materials monthly.
- Safety of Materials:- Organization and protection of material in accordance with manufacturer and Company guidelines; Zero records of goods damaged in storage, material shortage and theft.
- Prompt notification of materials inspection team:- Number of email notifications sent to the request teams within 3 Hours of materials arrival.
Qualifications & Experience
- Good First Degree in Economics, Inventory and Supply Chain Management, Engineering or Social Sciences.
- 3 – 4 years’ experience working in warehousing and distribution, shipping business or logistics operation with a good understanding of inventory management and computer inventory systems.
- A minimum of a professional qualification from the Charactered Institute of Procurement and Supply (CIPS)
