Role Purpose Statement:
The job incumbent is responsible for cost-effective purchase of all materials and services as required by the procurement plan; planning, organizing and directing functions related to storage, and delivery of equipment and supplies; and to perform a variety of support services and coordination of the companys purchasing and storage functions whilst ensuring quality control and compliance with the Companys policies and procedures
Main Accountabilities
- Forecast levels of demand for services and products
- Design and implement material and purchase plan
- Prepare and process requisitions and purchase orders for supplies and equipment
- Conduct research to ascertain the best products and suppliers in terms of best value, delivery schedules and quality
- Liaise between suppliers, manufacturers, relevant internal departments and customers
- Build and maintain good relationships with new and existing suppliers
- Negotiate and agree contracts, monitoring the quality of service provided
- Process payments and invoices
- Keep contract files and use them as reference for the future
- Develop strategies to make sure that cost savings and supplier performance targets are met – or exceeded
- Undertake value for money reviews of existing contracts and arrangements
- Forecast price trends and their impact on future activities
- Keep a constant check on stock levels
- Give presentations about market analysis and possible growth
- Produce reports and statistics on spending and saving
- Evaluate bids and make recommendations, based on commercial and technical factors
- Review purchase order claims and contracts for conformance to company policy
- Develop and implement purchasing and contract management instructions, policies, and procedures
- Design and implement various purchasing strategies and procurement policies and participate in all supplier reduction programs in coordination with global supply chain team and determine appropriate programs for all purchase requirements and assist to reduce supply chain cost
- Participate in the development of specifications for equipment, products or substitute materials
- Organize and update database of suppliers, delivery times, invoices, and quantity of supplies
- Collaborate with financial team members on contracts, invoicing, and other financial matters
- Supervise all audit activities and evaluate all purchase orders and payment; perform and assist to eliminate any discrepancy in same and prepare all contract terms and conditions
- Ensure standard warehouse management practices in line with business needs and company requirements
- Guide and train subordinates on a daily basis to ensure high motivation and economical working environment
Knowledge, Skills and Experience
- Minimum of a BSc degree in Operations or Supply Chain management or Business Administration or its equivalent from a reputable institution
- 5-7 years proven work experience in a similar role
- Experience in purchasing role working in a free zone is an added advantage
- In-depth knowledge of importation process- sea freight and air freight
- Knowledge and experience in procurement, material management ,inventory control, and record-keeping is mandatory
- Good understanding of computer applications is mandatory
- Must be very comfortable working with numbers; gathering and analyzing data
- Knowledge and skill of SAP is highly desirable
- Excellent communication skills
- Strong negotiation skills
- Good Customer orientation
- Good leadership skills
- Possess intercultural sensitivity
- Fluency in English
